Hello!

We welcome vendors who help create a warm, family-friendly evening and offer guests a thoughtful mix of goods, food, services, and community connections.

How It Works

Apply

Tell us about your business, product, setup, and preferred event date(s).

Vendor applications should be submitted at least 10 days before the event.

Wait for Approval

We review applications to create a balanced, welcoming vendor mix. If a date is full or not the right fit, we may offer another date or place you on a waitlist.

Purchase a Permit

Approved vendors should purchase their permit within 48 hours of approval to hold their space.

Vendor permits should be purchased only after completing the application and reviewing the guidelines.

Come Prepared

Vendors bring their own tables, chairs, tents, displays, cords, and booth materials.

Standard booths are 10’x10’, large booths are 10’x20’, and food trucks receive space to fit the vehicle.

Vendor arrival and setup are designed to keep the event safe, smooth, and welcoming for everyone.

Time your arrival following your assigned time. Complete setup no less than 15 minutes before event start time. Remain in place until the event closes - no early teardown allowed.

Booth Standards

We want every booth to look welcoming, safe, and ready for guests.

Vendors are responsible for providing their own setup, keeping displays neat and professional, and staying within the assigned booth space. Tents must be weighted on every leg, with a minimum of 25 pounds per leg.

Please keep signs, racks, and displays secure, keep goods inside your assigned space, and avoid anything that blocks walkways or creates a tripping hazard.

Power, Food & Safety

If approved, vendors should bring an outdoor-rated three-prong extension cord, and cords crossing walkways must be taped or covered. Generators are not allowed unless approved in writing.

Food vendors are responsible for following all local and state health rules and keeping required permits on site. Heat sources must be stable and kept away from guests, tents, and fabric, and vendors who cook should have a small fire extinguisher.

Weather Policy

Events are typically held rain or shine. If severe weather creates unsafe conditions, Heart may delay, move, pause, or end the event early.

If Heart cancels before the event begins for safety reasons, the vendor fee will be credited to another date. Vendor fees are otherwise non-refundable.

Vendor Courtesy

These events work because everyone helps create the atmosphere.

Please be kind to guests, fellow vendors, downtown merchants, volunteers, and event staff. Keep music low enough for neighboring booths to be heard, do no smoke or vape inside booths, and pack out boxes, large items, and booth trash at the end of the night.

Vendor FAQs

  • Family-friendly goods and services only. Vendors are responsible for following all laws, permits, tax requirements, and age restrictions related to what they sell.

  • Food vendors must have current health permits. Local Health Department officials conduct inspections on site.

    All vendors are responsible for their own sales tax and any required business compliance.

  • Only with approval from Heart. Please include that request in your application.

  • You’ll receive parking and arrival instructions by email. Please unload, then move your vehicle to vendor parking so guests can use nearby spaces.

  • Your vendor email will include the check-in location and an on-site contact number.
